Use Microsoft 365 Copilot in Excel to Analyze a Budget Spreadsheet for Trends and Variances

What This Does

Reviewing a budget spreadsheet for outliers or a month-over-month trend means scanning columns by eye and hoping the one line that's drifting catches your attention. Copilot in Excel reads the same data and surfaces summaries, trends, and outliers on request, working inside the exact workbook your bookkeeper already maintains rather than a separate tool you'd have to export into.

Before You Start

• Your organization has the Microsoft 365 Copilot add-on license, on top of a qualifying base Microsoft 365 plan (Business Basic, Standard, or Premium, or an Enterprise plan). This is a separate purchase from Excel itself, so check with whoever administers your Microsoft 365 nonprofit account if you're not sure it's active
• Nonprofits may qualify for a discount on the Copilot add-on through Microsoft's nonprofit program. Check the current terms on Microsoft's nonprofit pricing page before assuming it's out of reach
• Your budget data is in a proper Excel table or clearly labeled range, with column headers Copilot can reference by name

Steps

1. Find the AI feature

Open your budget workbook and look for the Copilot icon in the lower right corner of the Excel window. Click it to open the Copilot pane. You'll see three modes to choose from: Allow editing (Copilot can change the workbook directly), Plan (it shows you an approach before touching anything), and Chat only (analysis with no edits at all). For a first pass at a budget review, Chat only or Plan keeps you in control while you get used to how it responds.

2. Tell it what you need

Ask in plain language, naming the columns you want it to look at. Request a summary of which categories are running over budget, a month-over-month trend across your expense lines, or a plain explanation of the biggest swing in the data. The more specific the question and the more clearly your columns are named, the more useful the answer.

3. Review and use the result

If you're in Allow editing mode, Copilot builds a step-by-step plan and executes it while you watch, adding summary columns, a chart, or a PivotTable depending on what you asked for. Check any new formula or total against a line item you can verify by hand before you trust it in a board report, and read the explanation Copilot gives for how it calculated each result rather than taking the number alone.

Real Example

Scenario: Your monthly budget-to-actual workbook has twelve expense categories across nine months, and you want to know which lines are trending over budget before the finance committee call.

What you type/do: "Looking at the Category, Monthly Budget, and Actual Spend columns, which categories are running over their prorated year-to-date budget, and is any category trending up month over month?"

What you get: A written summary naming two categories running over budget with the dollar and percentage variance for each, plus a note that program supplies has increased for three straight months, along with an offer to build a chart showing the trend if you want one.

Tips

• Start in Chat only or Plan mode until you trust what Copilot changes in Allow editing mode. A misread column header can produce a confident-looking total that's still wrong.
• Name your columns clearly (Monthly Budget, Actual Spend, rather than generic labels like Column B) before asking Copilot to analyze the sheet. It reads header names, not just cell positions.
• Ask Copilot to explain how it calculated a specific number if the result looks off. The explanation usually reveals whether it misread a column or a date range.

Budget figures aren't public until the board sees them, and this workbook likely includes restricted-fund detail your organization hasn't released. Confirm with your bookkeeper or treasurer that routing the file through your organization's Microsoft 365 Copilot license fits your data-handling expectations before you rely on it for board-facing numbers, and verify any flagged variance against the source ledger before it goes into a report.
